Letter of Justification

Any letter written with the aim of explaining the reasons why a request should be granted, can fall under the heading of a letter of justification. Formally this kind of letter is often used within the army to justify requests for equipment, facilities, or any kind of construction being undertaken in a war torn country. For example a letter of justification may be written when requesting that a leisure facility be built to improve morale on a base in the Middle East.

 

Justification letters may also be used to secure funding, to extend contracts, or as part of salary and promotion negotiations. Healthcare providers also commonly write this type of letter to request coverage for their patient.

Steps

Starting to Write

Clearly state what the request is for and its scope, such as how much it will cost.

Explain the benefits to the parties involved, including any relevant data, such as previous successes.

Be courteous and do not make demands. This is a request that could easily be denied.

I am writing this letter of justification to obtain approval for a swimming pool facility to be installed for troops stationed in Helmand Province. The purpose of the installation is to improve morale and wellbeing through recreation.

 

As you are aware there are a limited number of leisure facilities available to troops, and I feel that this is having a negative impact on their morale and commitment to the cause.

 

While other facilitates have been suggested, I feel something fun yet active like a swimming pool will provide the right kind of emotional outlet needed to keep troops balanced, as opposed to less physical options like an internet café or gaming room.

 

I estimate that a basic 25m pool will cost no more than $30,000.
