Letter of Justification

Any letter written with the aim of explaining the reasons why a request should be granted, can fall under the heading of a letter of justification. Formally this kind of letter is often used within the army to justify requests for equipment, facilities, or any kind of construction being undertaken in a war torn country. For example a letter of justification may be written when requesting that a leisure facility be built to improve morale on a base in the Middle East.

Justification letters may also be used to secure funding, to extend contracts, or as part of salary and promotion negotiations. Healthcare providers also commonly write this type of letter to request coverage for their patient.

Starting to Write

Clearly state what the request is for and its scope, such as how much it will cost.

Explain the benefits to the parties involved, including any relevant data, such as previous successes.

Be courteous and do not make demands. This is a request that could easily be denied.

Sample Letters

Letter of Justification Army Sample

I am writing this letter of justification to obtain approval for a swimming pool facility to be installed for troops stationed in Helmand Province. The purpose of the installation is to improve morale and wellbeing through recreation.

As you are aware there are a limited number of leisure facilities available to troops, and I feel that this is having a negative impact on their morale and commitment to the cause.

While other facilitates have been suggested, I feel something fun yet active like a swimming pool will provide the right kind of emotional outlet needed to keep troops balanced, as opposed to less physical options like an internet café or gaming room.

I estimate that a basic 25m pool will cost no more than $30,000.

RE: Justification for State Park Funding

Dear Mr. Kenyon,

I am writing to ask for your consideration about granting the Department of Agriculture $2 million for a multi-year contract with the Wildlife Trust, to assume the role of maintaining the natural wildlife balance within our State Parks. According to information already provided there are funds available for the first year of this proposal.

As you are aware, maintaining state parks is one of our governmental remits, and the Wildlife Trust has already been used successfully in Texas and Arizona, and offers a considerable saving over our current provider. With a tough deficit to reign in I feel this would be a sound decision.

If further information is required please call my office on (505) 142-8558.

Letter of Justification for Raise Sample

Regarding Proposed Salary raise for Skip McAlear

Dear Martin,

As you may be aware Skip McAlear of Investment Management has been recommended by the Senior Associates for a salary raise, based on recent performances.

After an evaluation of their recommendations and my assessment of his progress, I too believe Skip is due some recognition for the money he has made the company over the past 5 years. I feel this reward would be a motivating factor in further successes, which will benefit all those involved.

His currently salary is only $200,000 which is significantly lower the average other firms are now offering experienced traders with a similar track record. I propose we immediately up this to $350,000 with a senior level bonus package, to prevent competitors from poaching him away.

If you feel this is justified, please let me know and I will set things in motion with HR.

Letter of Justification for Promotion Sample

To whom it may concern,

I was pleased to hear that Jackie Dorf is in the running for promotion to vice editor of the Sunday magazine. I have worked with Jackie on and off for the past 10 years and couldn’t think of anyone more deserving to get the job.

As editor of the website, Jackie’s story recommendations have always proven to be huge drivers of traffic and I am truly grateful for that. She certainly has a keen eye on what our readers want, and I am certain this skill will transfer over to the new role.

She is also one of the most well connected journalists in the field, and I feel this will pay off big time when we start seeing the types of names she brings in for columnist positions.

Jackie is up against some fierce and deserving competition, but I couldn’t recommend anybody else.

Letter of Justification Medical Sample

In the medical field, patients and doctors will often write a letter of justification to health insurance providers requesting coverage for a specific treatment or medicine. Its purpose is to describe the benefits the patient will receive from the usage of the device or treatment, and how it is essential for their well being. Below is an example:

William J. Murrah Insurance

2529 Mayo Street
Cincinnati, KY 45203

To Whom It May Concern:

Michael Green is a 15 year patient of our medical practice. He has been coming to us for the last 3 years seeking treatment for back pain. We have tried many different procedures, but nothing has seemed to work.

There is a new procedure available, (Information sheet attached) but it is not covered under his current health plan. We were wondering if there was any way to have this added so he can experience relief from his pain.

The treatment has worked on many people, and it has been approved by all the relevant health associations.

Please consider our request for this amendment to his health care plan.
